1. VoiceVocab Chrome Extension (Private by Design)
The VoiceVocab Chrome Extension is built with a "local-first" privacy model. Unlike the main web application, the extension processes audio data entirely on your device:
- Local Transcription: Audio captured from your call tab is transcribed locally using ONNX Runtime WebAssembly. No audio recordings or transcripts are ever uploaded, stored, or transmitted to our servers or any third-party AI providers.
- No Account Required: The extension does not require you to sign in or provide any personally identifiable information to function.
- Transient Storage: We use
chrome.storage.sessionto hold temporary session metadata (such as the start time and the ID of the tab being captured). This data is cleared automatically when you leave the call or close the side panel. - Permissions: The extension requests permissions (
tabCapture,offscreen,sidePanel,tabs,storage, and host permissions for all URLs) solely to facilitate real-time audio processing and UI display.

2. Information We Collect (Web Application)
When you use VoiceVocab, we collect:
- Account information (name and email) when you sign in with Google
- Knowledge-base content you upload for call prep — including PDFs, documents, and free-text notes about your product or a prospect
- Audio and transcript data captured during calls you choose to share with the real-time call assistant
- Usage data such as sessions, features used, generated briefs and detected technologies
- Device and connection information (browser type, operating system, IP address) for security and analytics
- Billing information handled by our payment processor (we do not store full card numbers on our servers)
3. How We Use Your Information
We use collected information to:
- Provide and improve the VoiceVocab copilot experience
- Build knowledge bases, generate pre-call briefs, detect technologies during a call, and produce post-call recaps
- Authenticate you, manage your account, and process subscription billing
- Respond to support requests and send important service notices
- Analyze aggregated usage patterns to improve product quality and reliability
4. Data Storage and Security
Uploaded knowledge-base content and call recordings are stored in encrypted cloud storage (AWS, eu-central-1) and processed by our AI providers to generate the outputs you see. We implement industry-standard security measures to protect your data, but no method of transmission or storage is 100% secure. You can delete uploaded content and call recordings at any time from your account settings.
5. Third-Party Services
We rely on the following trusted third-party providers:
- Google (OAuth sign-in)
- OpenAI (knowledge-base processing, call transcripts, brief generation)
- Stripe (subscription billing and payment processing)
- AWS (encrypted cloud hosting, storage, and email delivery)
- Web3Forms (waitlist email collection on the marketing site)
- Google Analytics and Google Ads (aggregated marketing analytics)
These providers receive only the data needed to perform their service and are governed by their own privacy policies.
6. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Export your knowledge bases, briefs, and call recaps
- Opt out of marketing communications
- Close your account at any time

7. Cookies and Tracking
We use a small number of essential cookies to keep you signed in and remember your theme preference. We also use Google Analytics and Google Ads cookies on the marketing site to understand traffic and measure campaigns. You can disable cookies in your browser settings, though some features may stop working.
8. Children's Privacy
VoiceVocab is a B2B product intended for working sales professionals and is not directed at children under 16. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this privacy policy from time to time. Material changes will be announced in-product and via email where required. The latest version will always be posted on this page with an updated “Last updated” date.
